Start with the teacher's boundaries and preferences
Ask how the teacher prefers family communication to work, which events need parent support, what classroom contributions are useful and what should not be organised without approval.
Build one volunteer list
Collect names, preferred roles and availability once. Avoid asking the whole class to start from zero for every event.
Keep an event planning sheet
For each event, record the date, purpose, school rules, budget, volunteers, supplies, responsibilities and final confirmation.
